Privacy Policy

What we collect when you order a content pack, why we need it, and the choices you have. We collect as little as we can and never sell your data.

1. Who is responsible for your data

QSTAR AI LTD (company number 17485746, registered in England and Wales; registered office: 5th Floor, 167-169 Great Portland Street, London, W1W 5PF, United Kingdom), trading as QSTAR AI, is the controller of personal data processed through this website and our service, for the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. Data we collect

  • Contact details — your name, email address and business name when you contact us or place an order.
  • Order content — the brief, product information, images, logos and other materials you send us, and the previews and packs we produce from them.
  • Transaction records — what you ordered, the amount, date, order reference and payment status. Card details are entered directly with our payment provider; we never receive or store full card numbers.
  • Correspondence — emails and messages you send us, including support and refund requests.
  • Technical data — basic server logs (such as IP address, browser type and pages requested) kept for security and troubleshooting.

3. How we use your data

  • To prepare your preview, produce and deliver your content pack, and manage your order.
  • To take payment and handle refunds, tax and accounting.
  • To reply to your questions and provide support.
  • To keep the website and service secure and prevent fraud or misuse.
  • To meet our legal and regulatory obligations.

We do not sell your personal data, and we do not use your order materials to market to other customers. We only send you marketing emails if you have asked to receive them, and you can opt out at any time.

4. Legal bases

  • Contract — processing needed to provide the pack you order.
  • Legal obligation — keeping transaction and tax records.
  • Legitimate interests — running, securing and improving our service and responding to enquiries, balanced against your rights.
  • Consent — where we ask for it (for example, optional marketing). You can withdraw consent at any time.

5. Who we share it with

We share personal data only with service providers who help us run the business, under contracts that require them to protect it:

  • Payment providers — our payment processor or reseller (Merchant of Record) shown at checkout, which process payments and, where acting as Merchant of Record, handle tax and invoicing as an independent controller under their own privacy policy.
  • Hosting, email and storage providers — to operate the website, deliver files and communicate with you.
  • AI and content-production tools — to generate previews and deliverables from the materials you provide, used only to fulfil your order.
  • Professional advisers and authorities — where required by law, or to establish or defend legal claims.

6. International transfers

Some of our providers are located outside the UK. Where personal data is transferred outside the UK, we rely on UK adequacy regulations or appropriate safeguards such as the UK International Data Transfer Agreement or Addendum to the EU Standard Contractual Clauses.

7. How long we keep it

  • Order materials, previews and delivered files: up to 180 days after delivery so we can handle re-downloads and support, then deleted — sooner if you ask.
  • Transaction and tax records: up to 6 years, as required by UK law.
  • Correspondence: up to 2 years after our last contact.
  • Server logs: up to 90 days.

8. Security

We use encrypted connections (HTTPS), access controls and reputable providers to protect your data. No system is perfectly secure, but we work to keep your information safe and will notify you and the regulator of a breach where the law requires.

9. Your rights

Under UK data protection law you have the right to access your personal data, have it corrected or erased, restrict or object to its processing, receive it in a portable format, and withdraw consent. To exercise any right, email hello@q-star.co.uk; we will respond within one month.

If you are unhappy with how we handle your data, please contact us first. You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.

10. Cookies

This website does not use advertising or tracking cookies. Our payment provider may set strictly necessary cookies during checkout to process payment securely and prevent fraud.
